Frame and Forge Privacy Policy

This policy covers the Frame and Forge Mac app (direct download and Mac App Store editions) and Frame and Forge Field used on phones and tablets.

In short

  • Your workspace records stay in the folder you choose on your Mac. They are not sent to Gathered Commons Press.
  • Optional connections for questions, mail, QuickBooks or maps, send only what each feature needs to the provider you enable.
  • Frame and Forge Field keeps downloaded work and photos on the phone until it syncs with your office workspace.
  • No advertising and no analytics.

Workspace records

Accounts, contact details, project and cost records, estimates, photos, documents and activity records are stored in the workspace folder you choose. These records are not automatically sent to Gathered Commons Press. People with permitted access to that workspace can view the records available to their role. The business operating a workspace manages its users and business records.

Locations and maps

The workspace stores job addresses and map coordinates that you enter. When the embedded map is enabled, Google receives coordinates used to show the map. These may include a job pin, location you chose to attach to a phone photo, or location stored in imported photo metadata. Location is optional; the app never tracks you in the background. Opening an external map link is a separate action in your browser.

Location on phones is optional and off by default. When you add photos, you can tick the option to record where they were taken; only then does your browser ask for location permission, and the latitude, longitude and accuracy are saved with those photos and synced to the office workspace. If you don’t tick it, your current location is not captured, and you can turn off location access in your browser or phone settings at any time.

The Mac App Store edition’s office window cannot capture your Mac’s location. It can still show locations imported from paired phones or photos. The direct-download edition and the phone browser ask for permission when their capture option is selected.

Photos and the camera

Frame and Forge Field uses your phone’s camera or photo library only when you add a photo to a job. Photos stay on the phone until they sync to the office workspace, where they are stored with that job. Photos added on the Mac are stored in the office workspace. Photo files are not sent to the optional question providers.

Frame and Forge Field on phones and tablets

Frame and Forge Field runs in your phone’s browser or from its Home Screen. It stores downloaded assignments, drafts, photos and an access key for the office workspace in the browser’s storage on that phone. Anyone who can unlock the phone can open that information. If a phone is lost or changes hands, ask the workspace administrator to revoke its access. Phone backups that include browser data can include this information.

Optional connections

Workspace administrators choose whether to enable connected services. When you send a question through an optional connection, your question and the permitted workspace information needed to answer it are sent to the selected provider, OpenAI or Anthropic. The connection sends permitted text, including photo captions when needed, rather than photo files. Contact details and costs are included only when the workspace owner permits them. The Mac App Store edition asks you to confirm before each question is sent. Review what you include before sending a question.

A mailbox connection contacts your mail provider and imports the email you select into the workspace. When you connect QuickBooks, Intuit receives authorization requests and the company account identifier used to check your connection. The check reads company information and does not post invoices. CSV exports are handled in your workspace without a connection. Spreadsheet imports are handled entirely in the workspace. These services may receive connection details such as your IP address and keep information under their own terms. Disconnecting a service does not remove copies already held by that provider.

The information used by these optional connections falls under Name, Email Address, Phone Number, Physical Address, Other Financial Info, Precise Location, Other User Content, and User ID. The QuickBooks company account identifier is User ID. This information is linked to the workspace or connected account, used only for App Functionality, and not used for tracking.

Remote access (direct download edition)

In the direct download edition, a workspace owner can turn on a secure remote connection so Frame and Forge Field can reach the office from outside its network, and can connect a desktop writing app to the workspace. Both are off until the owner sets them up, and both follow each person’s project access. The remote connection runs through the connection provider the owner configures. Neither feature is included in the Mac App Store edition.

Storage and protection

Saved connection credentials are encrypted. Complete backups are encrypted by default and include an Emergency Kit for recovery. The working records in your workspace are not all encrypted by the app. Protect your Mac and workspace with a strong login password and FileVault disk encryption.

Keeping and removing information

Records remain in your workspace and any backups you keep until you or an authorized workspace administrator remove them. Removing the app does not erase a separate workspace folder. For access to or removal of business records, contact the administrator of the workspace that holds them.

Messages you send us

If you write to us through the contact form or by email, we receive your name, email address and message and use them only to reply and to improve the app. The website privacy policy explains how long we keep these messages. Please leave passwords, access keys and other people’s private records out of your message.

Your requests

Information the app keeps on your own device or computer can be viewed, exported and deleted there. Information held by a service you connect, a room host or a workspace administrator is controlled by them, as described above. To ask about information you have sent us, or to have it deleted, contact us as above. We respond within 30 days. California residents have these rights under California law, and we extend them to everyone.

Changes to this policy

If a future version changes what the app stores or sends, we will update this page before that version is released and change the date above.
